Import Contact Information into QuickBooks

The most important thing to know in regards to contacts is that QuickBooks is very strict about not allowing duplicate contacts. You will be unable to push an invoice to QuickBooks if there appears to be a contact already created in QuickBooks using the FrameReady contact’s name and information.

What does FrameReady recommend?

The best case for most clients is that you are working with no contacts in QuickBooks. Doing this means that any that are pushed from FrameReady are created for the first time in QuickBooks and therefore there are no potential duplicates.  

For clients where this is not realistic, you will be required to manually review your contacts in both to ensure that all of the potential matching contacts are properly connected.

Importing Contacts

  1. Begin by entering the QuickBooks Integration Setup window.

    Follow the instructions here.

  2. Open the QuickBooks Customers tab from the Left bar. Please note this is the default tab opened when you first enter the Integration Setup window.

  3. Click the Import All Customers From QuickBooks button.

  4. It should be expected to take a few moments to several minutes depending on how much information you will be importing into FrameReady.  

Keeping Your Quickbooks Information Up to Date in FrameReady

After the import process, it is recommended that if you import a large number of records you may need to manually connect them to a matching FrameReady record. You can do this when you receive an error when pushing an invoice or manually review your records after the import is finished.  

How to Review and Match Your FrameReady Contacts to QuickBooks Customers[link]

It is not recommended that you create new contacts in QuickBooks after this process. If you have to create a new contact in QuickBooks, you must import them into FrameReady and attempt to match them to a current FrameReady record if present. By not doing this you will not gain access to the QuickBooks ID number that would be associated with the FrameReady Contact ID, therefore not allowing you to push invoices for the contact into QuickBooks until a proper match is made.  

Danger: Also, do not remove records from FrameReady that you have imported from QuickBooks as they can be linked to FrameReady clients. Breaking this link can cause issues when pushing invoices to QuickBooks until the link is reestablished.  FrameReady will attempt to create a new contact in QuickBooks because there is no ID and QuickBooks will not allow this because the contact is already in QuickBooks.
