Push an Invoice to QuickBooks
Use these steps to add a FrameReady customer into your QuickBooks.
-
A push is a one-way transfer of data from FrameReady and into QuickBooks. The reverse, from QuickBooks to FrameReady (called a 'pull'), is not supported.
-
A push is triggered manually; changes are not automatically pushed.
-
If information needs to be updated, then first make the changes in FrameReady and then click the Push to QuickBooks button.
How to Push an Invoice to QuickBooks
-
Each FrameReady line item is required to be associated with a Quickbooks Item (Products and Services / Chart of Accounts item).
-
When an Invoice line item is not associated with a Quickbooks item, then a red box is displayed between the Work Order / Item Number and the description.
-
Locate the invoice in the Invoice file.
-
Confirm that all Invoice line items have a green QuickBooks Item ID. A green square indicates that the line item has been properly matched with QuickBooks.
If not, then click the red square button and assign a QuickBooks Item ID to the line item.
Very Important: Each Invoice line item must be associated with a QuickBooks item (as created during Set Up: Set up QuickBooks Items)
-
Click the Push to QuickBooks Button.
-
If the related FrameReady Contact does not already have a Quickbooks ID, then pushing the Invoice automatically attempts to add the FrameReady contact to Quickbooks before sending the Invoice data.
-
If payments exist associated to the order, then those payments are transmitted automatically when the Invoice is sent to Quickbooks.
-
If a new payment is added to the FrameReady Invoice after it was initially pushed to Quickbooks, then simply click the Push To Quickbooks button to send the newest payment data.
This process updates Quickbooks with the invoice data and all payment information. Multiple payments in FrameReady are listed as multiple payments in Quickbooks.
If a payment is deleted in FrameReady, then you cannot use the push button to update the invoice in QuickBooks. -
A QuickBooks ID and date/time stamp appears after a successful push.
-
If a match was not found between FrameReady and QuickBooks, then the button is grey and clicking the Push to QuickBooks button results in the error message: "The following errors were found... - QuickBook item ID's re not selected for some line items."
-
The Invoice number in FrameReady is also used in QuickBooks.
Important: If the customer information needs to be updated, then make the changes in FrameReady first and then click Push to QuickBooks.
If I push a payment to QuickBooks, then realize it is incorrect and then fix it in FrameReady, can I click the Push to QuickBooks button again and have it update the previously pushed payment in QuickBook?
If you are using QuickBooks Online version, then that should work.
However, QuickBooks Desktop version does not update.
