Manage Discontinued Items

Automatic Identification

After downloading new prices, you may receive a dialog box notifying you that a number of mouldings or matboards could not be verified. FrameReady then asks you want to identify these items as Not Verified. If you select Yes, the validation field will be marked as such in each record. You may change it to read “Discontinued”.

Note: If you manually mark a Current item as Discontinued and then perform a Vendor Update, the item will revert back to its Not Verified status. 

Important! Always check with your sales rep before discarding corner samples or deleting Discontinued items from your Price Codes file.

Discontinued Items in the Work Order

  • If a discontinued moulding or matboard is added to a Work Order, the phrase “Not Verified” or “Discontinued” appears in the description. Use this to alert you to check inventory, to find another match, or to pull the sample off the wall.

  • If you perform a search for a moulding or matboard while in a Work Order, the phrase “Not Verified” or “Discontinuedappears in red to the right of the list of items.

Note: Please note that these items remain in your database and will not be deleted until you choose to remove them.

Should Discontinued Price Codes Items be Deleted?

After double checking the vendor’s catalog, two things should be checked before you delete discontinued items:

Check Your Inventory

  • If you carry length moulding or have matboard in stock, you should not delete the record from your database: you can only sell what is in your database.

Check Your Samples

  • You may want to print out a list of the discontinued items for which you have corner samples. This will help you to clean up your wall of discontinued moulding and matboard before a customer falls in love with it.

  • If you have marked an X in the Moulding Sample box (upper right hand corner of the Price Codes file), then you can do a combined search for that X in the Sample field and Discontinued.

Locating Discontinued Items by Date

How to Find Discontinued Items by Date

If you did not mark the Not Verified items at the time of downloading your Vendor Updates, then you can go back and locate them manually.

  1. Go to your Price Codes and click the Find button.

  2. In the Enter Search Criteria screen, click in the Supplier field and select a supplier.

  3. Click Perform Find.

    This locates and lists all of the items for that supplier.

  4. Click Sort.

    The Sort dialog window appears.

  5. Sort the records by Validation Date.

    The oldest records appear at the top of the list and the current records at the bottom.

  6. Check the date at the bottom of the list.

    If the same date appears at the top of the list, then all of the records are valid.

    If the date at the top of the list is prior to the date shown on the last record, then the item is no longer valid and may be discontinued.

  7. Click on the drop-down menu and select Not Verified.

Locating Discontinued Items

You can perform a Find for all Discontinued or Not Verified items from one supplier or from all of them.

  1. Go to your Price Codes and click the Find button.

  2. In the Enter Search Criteria screen, select "Not Verified" or "Discontinued" from the Validation dropdown field.

  3. Locate the Supplier dropdown field and select a supplier if you want to only locate the items of that one supplier, e.g. Bainbridge.

Note: The more criteria you enter on the search screen, the more refined are your search results.

For example, f you select discontinued and select supplier: Bainbridge and Group: matboard, then the program will only find the discontinued Bainbridge mats. It will not locate any of the Bainbridge Bevelled Accents (which are in the group: fillet). Nor will it locate the matboards from any company other than Bainbridge.

  1. Click Perform Find.

    A list appears that you can print or browse.

Locating Discontinued Samples

If, each time new samples arrive, you mark an X in the Moulding Sample box on the Price Codes file, then you can now tell FrameReady to build a list of discontinued samples to pull off your wall.

  1. Go to your Price Codes and click the Find button.

  2. In the Enter Search Criteria screen, select "Discontinued" from the Validation dropdown field.

  3. Click in the Moulding Sample or Matboard Sample check box.

  4. Click Perform Find.

    A list of samples marked as discontinued appears.

Locating Discontinued Items that have No Inventory

Tip: This process requires you login as level4 user.

Items which have been discontinued and which you have no inventory can be deleted from your database (after you have printed your list of samples to be pulled.)

  1. Go to your Price Codes and click the Find button.

  2. In the Enter Search Criteria screen, select "Discontinued" from the Validation field.

  3. Use the correct Quantity field to locate the matboard or moulding for which you do not have any stock/inventory:

    • Auto Inv - When using the auto inventory system, click in the bright yellow Qty field.  In this Qty field, enter  <=0  

      This will find all items with a quantity less than or equal to zero, i.e. for which you do not have any stock available to sell.

    • Manual - If you are using the manual inventory system, click in the Qty field (under the heading of Moulding Inventory or Mats, Mounting, Glass Inventory) and enter  <=0  

      This finds all items with a quantity less than or equal to zero, i.e. for which you do not have any stock available to sell.

  4. Click the Perform Find button.

    If you have more than one discontinued item, they appear in List View. If you only have one discontinued item, it appears in Form View.

  5. Note the number of discontinued items.

  6. With the List View on the screen, click on Menubar > Records > Delete Found Records

    This deletes all of the records showing on your screen.

Warning: Check diligently before clicking this button!

A dialog box appears identifying how many records will be deleted.

  1. If the number is correct, then click the Delete All button.

Printing a Discontinued Item List

Once you have the list of discontinued items (or any list), you can print it.

  1. Click List View > Print List.

    A dialog box appears asking which type of list you would like to print.

  2. There are three different types of printouts you can select from. Select the style which works best for you.

    The Sort dialog box appears.

  3. The default is to sort by item number. Click Sort.

    A print preview appears.

  4. Click Continue.

    The Print dialog box displays.

  5. Click Print.

Manually Update Discontinued Stock

When you come across a discontinued moulding or matboard, you will want to identify it, especially if you have some in stock. Locate the item in your Price Codes and then:

  • No Stock - To identify discontinued moulding, select Discontinued from the Validation field. If you do not stock any length footage, you can delete all of the discontinued items after you print out the list of moulding samples to be removed from the wall.

  • Stock - If you stock length footage, select Discontinued from the Validation field. However, for discontinued items that can safely be deleted from your database, use the Marked box. You can then find the Marked and Discontinued items and delete them after printing your list of moulding samples to be removed from your wall.

  • Matboard - To identify discontinued matboard, select Discontinued from the Validation field. If you do not stock any matboard, you can delete all of the discontinued items after you print out the list of matboard samples to be pulled from you corner sample display.

Important Note: If you have previously used the Marked box, you may want to use the Unmark All button so that the previous marked items are not included with the discontinued items to be deleted.
