Work Orders

Creating a Package Special

or

Package Specials is a feature where you set up any number of framing configurations. Later, they can be quickly added to a Work Order simply by entering an abbreviation or code name.  

Note: to create Work Orders with fixed features but with adjustable measurements and prices, see How to Create a Work Order Template.

Tip: The price of a Package Special is determined when you first create it. Later, when you add it to a Work Order, the price is locked at the Package Special price.

How to Create a Package Special

To set up a new package special do either:

  1. From the top menu bar, click on Records and select New Record to create a blank form to fill in.

  2. Create an identifying Code name, a generic description like “Oak Wood” or a specific moulding # in the Frame1 field.

Caution: Each code must be unique - duplicate codes may cause problems.

Example Identifying Codes

  1. Fill in each component, along with a fixed price for each, of your package special, but:

    • Do not use exact moulding numbers in the Frame1, Frame2, or Frame3 fields (inventory will not be updated; the footage will not appear on the frame order/purchase order). Instead, enter a prompt such as  Wood 

    • Do not use exact matboard numbers in the Mat1, Mat2, or Mat3 fields (inventory will not be updated; the footage will not appear on the frame order/purchase order). Instead, enter a prompt such as  Paper Mat 

The fields Frame1, Frame2 and Frame3 represent stacked frames. The fields Mat1, Mat2 and Mat3 refer to single, double or triple mats.

  1. Select your Mat Design, Glazing, Mounting, and Fitting components, along with a fixed price.

    These items can be exact items as the fields are updated with auto inventory (provided you added the item using the drop-down menu; hand-entered items may not be found).

  2. The Total field is auto-calculated from the numbers entered in the Price fields (you cannot type a number into the Total field).

  3. Click Done.

How to Use Package Specials on a Work Order

  1. Click the grey Package Special button.

    A dialog box appears asking "Do you want to apply the package special to a new work order or to the current work order?"

  2. Click Current to undo the Work Order's pricing and replace it with the Package Special pricing.

    OR

    Click New and a brand new Work Order is created.

    The Choose Package Special dialog box appears.

  3. Select a Package Special and click OK.

    The Work Order auto-fills with data, but it is still necessary to enter specific moulding, matboard and frame dimensions at this point.

  4. Enter moulding and matboards, replacing the prompts with actual Price Code items.

  5. Enter measurements (e.g. width, height, margins). Even though the regular price of the moulding and matboard appear, the Work Order is locked to the Package Special price.

Note: the Work Order is locked so the price does not change.

Tip: Use the Fit in Readymade button if you know the frame size.

  1. Enter customer information and any other data to complete the Work Order as usual.
