Draft, store, preview and print single or bulk letters to your Contacts.
The yellow scroll arrows are buttons to scroll through your contacts one at a time and preview the letter. The two outside arrows take you to the first and last records on your list. The two inside arrows move you through your records one at a time.
If you clicked the Print Letter button to access this screen, you will not be able to use the scroll arrows because there is only one record currently available.
The Sort button is useful when sending the same letter to more than one contact.
The Done button is used to exit the screen.
The Attention field is used to identify business contacts other than the individual entered in the first and last name fields.
The name in the attention field will supersede the entry in the first and last name fields. Envelopes, labels and letters will print as “Attn. Gary”. All other printouts will show the entries in the first/last name fields.
Do not use the Prefix field with the Attention field or you will have “Attn. Mr Gary”, even when there is a last name entered. This field is only accessible in the Contacts file.
A selection of formal titles (e.g. Mr, Mrs, Ms, Dr, Dr & Mrs). When the prefix is used, the salutation will change to Dear Mr Smith from Dear John. Adding the prefix in this screen will change the customer’s information in the source record and all related files.
An entry can be removed from the field by clicking in the title field, selecting the entry and then pressing the Backspace or Delete key.

Changes made to this screen also appear in the customer’s record in the Contacts file and all other related files.
Use to preempt all other name considerations. You may use it to combine the two contact names, or add a third name, e.g. David & Mary Thompson and Jordan or Thompson Family, or Staff of Mercy Hospital, etc.
A selection of words to appear before the customer’s name (e.g. Dear Bert, Greetings Bert, Hi Bert). Use the Edit… feature at the bottom of the list to modify the entries or add your own salutation.
Use the Other… feature to enter a one-time salutation that will be used on this letter but will not be added to the pop-up menu.
Similar to the Name Override field except that it applies to the salutation line in letter format.
For example: customers’ names are Richard and Elizabeth, but you want the salutation to be less formal, so in the override field you would type “Dear Dick & Liz”.
The number of records in the found set, i.e., how many letters you will be printing if this is a bulk mailing.
Navigate through the list using the yellow arrow buttons.
Triggers visibility of a measured ruler of the section you are currently in; assists in creating tabs and formatting text.
Creates a new letter number and presents a blank field in the Letter Title area, where you type the name of the letter. Click in the blank field to type the body text.
Instructions for using a tab insert are listed on the right of the screen. (For Windows: Ctrl + Tab . For Macintosh: Option + Tab ).
Spell check the body of your letter. Use the Replace button to change to the selected spelling. When finished, Click the Done button on the screen to access your letter or the control palette.
Displays a preview of the letter to be printed. Click Continue to access the Print dialog box.
Displays the letter in preview mode to give you a sense of how it will look when printed.
The drop-down menu lists all previously created letters.
Click the letter you wish to use or type the first letter of the letter’s title and the list will scroll to that section automatically.
Identify your letter for later selection. Titles are sorted alphabetically in the list, e.g. Thank you – purchase, Thank you – referral.
When the contents of the letter appear off-screen, click to auto-scroll back to the opening line of the letter.
To tab within the body of the letter, press Ctrl + Tab.
Toggle the Rule to create tabs and format text.
