Edit Notification Email – Main Menu Options Tab

When a work order is completed, an email message can be sent to the customer to notify them. The message is composed automatically using the information on the work orders: name, description, sales rep, etc.

With the completion email, one click of a button will send a personalized email message to your customers letting them know that their framing is ready to be picked up. You can customize this message with a personal comment (ie. So glad you selected the blue mat.) or your business hours, your tag line, or the promotion you are running in September. Start promoting your business better by customizing the completion email or Proposal email in the Work Order file and the Invoice and Statement emails in the Invoice file.

Note: Only available in FrameReady version 8 and higher

Access: Main Menu> Work Order section> Options Tab > Edit Email Message

E_Message

First Name: Enters the contents of the First Name field from the Contact file.

Last Name: Enters the contents of the Last Name field from the Contact file. (Remember to enter a space between the first and last name fields in the email message.)

Work Order #: Enters the number of the Order from the Work Order file.

Order Date: Enters the date the Work Order was created as shown on the Order tab.

Due Date: Enters the Due Date field from the Order tab in the  Work Order file.

Completion Date: Enters the date, from the shop tab of the Work Order file.

Description: Enters the title of the art or description of the piece as it appears on the Work Order screen.

Order Taken By: Enters the name of the sale rep which appears in the Order Taken By field on the current order.

Order Designed By: Enters the name which appears in the Designed By field on the Work Order.

Order Quantity: Enters the number in the bright yellow quantity field of the Work Order.

Order Total: Enters the total amount of the framing order including taxes and discounts. Does not reflect any payments.

Tip: This is a wonderful customer service tool. You should ask the customer’s permission while you are taking in the work order if they would like to receive an email notification when their piece is ready for pick-up. Use this tool to set yourself apart from your competition and save your staff time and effort. Unclaimed framing is difficult to store and, if you have not received full payment, costly.
